Changes: preview and apply

How an AI app you sign in with 42six changes your books: it previews, you confirm, then it applies.

How a change works

  • You ask the app for a change, for example: categorize these five Amazon charges as Office Supplies.
  • The app calls a preview tool. 42six checks the change against your books the way the app's own screens would, and keeps it as a plan. Nothing in your books changes.
  • The app shows you the summary: the book, each account by code and name, every transaction or line it touches with its date and amount, the totals as debits and credits, and anything left out and why.
  • Only when you say yes does the app call apply_change with that plan. 42six applies exactly what you saw, all at once or not at all, and records which app made the change.

What an app can change

  • Categorize bank transactions that need review, or recategorize one.
  • Move posted lines from one account to another.
  • Post a journal entry.
  • Reverse a manual journal entry.
  • Add a categorization rule.

An app never locks or closes a period, closes a year, deletes anything, or touches billing, sign-in, members, invitations or bank connections. Books your accountant operates for you on a Managed plan refuse changes from an app.

Who can make changes

Only an app you signed in with 42six, only on the books where you turned changes on when you approved it, and only while you can still change those books yourself. An API key never changes your books. To stop an app making changes, disconnect it under Settings › Connected apps; a plan it previewed earlier is then refused. To keep it reading, connect it again and leave changes off: the switch is on the screen where you approve it.

When nothing changes

  • A plan expires 10 minutes after its preview. apply_change then answers plan_expired, and the app previews again.
  • If the books changed since the preview (someone categorized the same transaction, or a period was locked), nothing is applied and the answer says so. Preview again.
  • If the books are busy with another change, the answer is busy. Try again in a moment.
  • An account name that matches more than one account answers ambiguous_account with the choices; a preview with nothing left to change answers nothing_to_change with each exclusion and its reason.
  • Applying the same plan again returns its first result. A change is never made twice.
  • You can hold up to 20 open previews at once; past that the answer is 429 too_many_previews.
